A project plan, according to the Project Management Body of Knowledge (PMBOK), is: "...a formal, approved document used to guide both project execution and project control. The primary uses of the project plan are to document planning assumptions and decisions, facilitate communication among project stakeholders, and document approved scope, cost, and schedule baselines. A project plan may be summarized or detailed.
Use this tool to review the implementation plan provided by the vendor, and prepare to develop a project plan for your organization that reflects milestones from the vendor’s plan and all other tasks you need to perform.
How to Use:
1. Review the implementation plan supplied by the vendor, ideally with the vendor’s implementation specialist. Consider the tasks, resources, and timing, and coordinate changes with the vendor.
2. Prepare to develop a project plan for your organization that reflects milestones from the vendor’s plan and all other tasks you need to perform. In some cases, you may have to manage several vendors at one time ( the HIT application vendor, a systems integrator who is writing your interfaces, a chart conversion company, a data conversion company, a construction company, a telecommunications company, an implementation and training consultant).
Recording all project milestones from different vendors can help you track their progress as well as the dependencies among them ( you can’t install hardware without some construction being completed).
3. Record the tasks and resources to be used ( names of individuals, committee, team, vendor) and period of time planned for the task.
4. To use the Excel spreadsheet as a Gantt chart to track completion of each task, separate each task with a blank row and record the actual time; or purchase Gantt chart utilities to create a Gantt chart from an Excel file.
